Print, Export & E-Mail

The GSelector Print/Export tool allows the user to Print, Export and E-Mail, customized contents from Browse and other windows (see below for a list of Print-enabled windows).

The Print/Export tool opens a Print Preview window which displays any grid or browse in the selected window. The Preview pane carries much of the functionality of the source window - where a display can be expanded in the main window; it can also be expanded in the Print Preview window. Colors used in source windows are replicated, with the exception of the graduated colors used in Demand Graph fields.

From any print-enabled window, select the Menu File option and then the Print/Export option, or press Ctrl+P, to open a Print Preview of the source window, similar to this illustration of the Print Preview pane displaying a zoomed in view of the Category Goals window.

Menu

Many of the toolbar options are also available in the Menu. This allows the user to disable the toolbar to give more viewing space in the preview window. Icons may vary based on the Appearance Style selected.

 

File Menu

The options listed below are available from the File menu:

Page Setup - The Page Setup option opens a page setup window to specify the paper size, orientation and margins to use for printing.

Print - The Print option is used to select an installed printer, set the preferences for the selected printer, print a selected range and print multiple copies of the previewed information.

Quick Print - The Quick Print option will print the preview to the windows default printer.

Export Document... - The Export Document option is used to Export the previewed information to a file.  The file can be exported to a variety of file formats; PDF, HTML, MHT, RTF, XLS, XLSX CSV, TXT, as well as various Image formats (BMP, JPEG, GIF, TIFF, PNG, EMF and WMF).

Send via E-Mail... - The Send via E-Mail option will export the file to the selected file format and will then open a new empty E-Mail message with the file attached. This option requires an E-Mail program to be installed on the computer.

Exit - The Exit option is used to close the Preview pane.

 

View Menu

The options listed below are available from the View menu:

Page Layout - A document can be previewed in two modes; facing and continuous. When the Facing layout is selected, the pages are arranged side-by-side. When using Continuous, the pages are arranged as a continuous vertical column.

Toolbar - The Toolbar option is used to add or remove the toolbar from view on the main preview window. This option is also available by right-clicking the toolbar.

Status Bar - The Status Bar option is used to add or remove the status bar from the bottom of the main preview window. This will remove the page information and Zoom bar at the bottom of the window. This option is also available by right-clicking the toolbar.

Customize... - The Customize option is used to open the Toolbar Customization window. The customization window is used to create and change the Toolbars. This option is also available by right-clicking the toolbar.

 

Background Menu

The options listed below are available from the Background menu:

Color - The Color option is used to select a background color for the document.

Watermark - The Watermark option opens the Watermark window to insert a Text or Image watermark into the background of the document

Thumbnails

The Thumbnails button opens a pane to the left to show thumbnails of the pages in the print preview.

 

Search

The Search toolbar  button will open a Find window that can be used to search for words or combinations of words.  Click the Search button, type in the word of phase, set the Matching desired and the direction to search from the location being viewed in the preview window. Alternatively, press CTRL+F to invoke the Find window.

The Customize toolbar  button opens the Print Options windows. Click this button to open the window to Customize the printing options.

 

Open

The open toolbar  button allows the user to open a previously saved .prnx file for viewing and printing. When a .PRNX file is opened, many of the customizing options are available, however the line items can no longer be collapsed or expanded, the Page Setup and Scale buttons will also be disabled.

 

Save

The Save  button allows the user to save the information in the preview pane to a .PRNX file.  This file can be opened, from any Print Preview screen within GSelector, using the Open  button from the toolbar.  When a .PRNX file is opened, many of the customizing options are available, however the line items can no longer be collapsed or expanded, the Page Setup and Scale buttons will also be disabled.

 

Header And Footer

The Header/Footer button will open the Header-Footer settings window allowing the user to make changes to the default header and footer.

 

Scale

The Scale button opens a drop-down window to allow the user to adjust the scaling, of the printed material, to fit to a specific percentage of the original size or to a specific number of pages.

 

Scroll tool

The Scroll / Hand tool can be used in the absence of a mouse scroll wheel. Click the Hand Tool button to display the hand icon in the preview pane, then click in the preview pane to drag the displayed information up or down, or from page to page, using the mouse.

 

Zoom buttons

Magnifier - The Magnifier button is used to Zoom in, setting the zoom to 100% or Zoom out  to view the whole page in the preview window. Click the Magnifier button to turn on the feature, and then click the mouse to zoom in or out. The Zoom out percentage is based on the size of the preview window. Click the Magnifier button again to turn off the feature. Use the Zoom In button described below to view the information at greater than 100%.

Zoom Out / Zoom In - The Zoom out and Zoom In buttons allow the user to magnify the display, to zoom in and out by 5% increments. To zoom in or out of a document using the mouse, hold down CTRL and rotate the mouse wheel. The Zoom drop-down allows the user to select the degree of magnification or manually enter any value into the Zooming box. The Zoom percentage can be viewed here or in the status bar.

 

Navigation buttons

These four buttons allow the user to move through multiple pages in a Print Preview. The buttons let the user jump to the start, go back one page, go forward one page, or jump to the last page.

 

Multiple Pages

To preview two or more pages at one time, click the Multiple Pages  button on the toolbar. Then, in the invoked dialog, select the required number of pages icon to close it and apply changes to the document view.

The Close  button is used to close the Preview pane.

 

Add or Remove Buttons

To the far right of the Toolbar there is a drop-down arrow that can be used to add or remove buttons from the Toolbar or open the Customize Toolbar window.

 

 

Preview pane

The preview pane displays the contents of the browse in the underlying window. There are a number of ways to customize the display of information in this window, including specifying content for the Header and footers. Where additional data is available, such as in the Categories Browse window, the information can be collapsed or expanded similar to the source window as seen below.

 

Status bar

The status bar at the bottom of the page displays the current page, the number of pages in the preview, and the zoom factor. By clicking the Zoom bar in the Status bar, the user can activate the mouse scroll wheel for zooming in and out of the preview pane using the mouse scroll wheel. Clicking any area of the preview pane will return the mouse wheel to scrolling up and down in the pane.

Printing

When finished Customizing the information and adding the Header and footer, simply click the Print button to select a Printer and printer settings or the Quick Print button to print to the default printer using the default settings. See the Printer documentation for details on how to use the printer settings.

 

Page Setup, Paper Size and Orientation

From the Toolbar or the File Menu, click Page Setup .  This accesses a standard Windows™ page setup window, to specify the Paper size, Orientation and Margins for the information to be printed.

Note: If you try to print a document whose margins are outside of the printable area, a warning message will be displayed. Click Yes, if you are sure that the printer supports the specified page margins.

 

Customize Print Options Window

The window, accessed from the toolbar using the customize button, is divided into two panes. On the left, the Options tab allows the user to check any box to insert a feature into the display. On the right is a preview mock-up of how this would look. The behavior tab allows you to expand nodes and expand column widths automatically for best effect. If you're going to do a lot of printing, it's worth experimenting with these different settings.

 

Header and Footer settings

To insert a page header and page footer into a document, click the Header and Footer button on the toolbar. This will invoke the Header and Footer dialog.

The window has three boxes for both the Header and the Footer, in which the user can enter any text. GSelector Header-Footer default settings are to display the Station Logo (specified in Station Settings: Name and Logo ) at left, the window in which the user is working at center, and any Filter used at the right. The user can add page numbering, print date, print time, user name (specified in the Administration Users window ) and other images, where this is available, by selecting either Header or Footer, and clicking the relevant toolbar button. If needed, the user can also adjust vertical alignment and font settings from the toolbar. Click OK to save changes and close the dialog.

 

Exporting the Document to File

The Export Document option is used to Export the previewed information to a file. The file can be exported to a variety of file formats; PDF, HTML, MHT, RTF, XLS, XLSX, CVS, TXT, as well as various Image formats (BMP, JPEG, GIF, TIFF, PNG, EMF and WMF).  To export a document and save the resulting file on your hard drive, click the arrow near the Export Document... button in the toolbar or in the File Menu. Choose the required format from the invoked list.

Depending on the selection made, specific Export options can be selected. Click OK once the options are set, the windows Save As dialog will open where the location and filename for the file can be selected. Click Save to save the file. If the corresponding software is installed, to view the file, the file can then be opened.

 

Sending the Document as an Attachment in an E-Mail

The Send via E-Mail option will export the file to the selected file format and  then open the default installed E-Mail program with the file attached. The file can be sent in a variety of file formats; PDF, MHT, RTF, XLS, XLSX, CSV, TXT, as well as various Image formats (BMP, JPEG, GIF, TIFF, PNG, EMF and WMF). To send a document in an E-Mail, click the arrow near the Send via E-Mail... button in the toolbar or in the File Menu. Choose the required format from the invoked list. Depending on the selection made, specific Export options can be selected. Click OK once the options are set, the windows Save As dialog will open where the location and filename for the file can be selected. Click Save to save the file. GSelector will then open a new empty E-Mail message, using the default installed E-Mail program, with the file attached.

 

Background Color and Watermark

Background Color

To add a background color to a document, click the Color button on the toolbar, or click Color... from the Background menu. The Background Color dialog will be invoked.

Then, choose a color from the Custom, Web or System palettes.

Watermark

To add a watermark to a document, click the Watermark button on the toolbar, or click Watermark... from the Background menu. The Watermark dialog will be invoked.

Use the Text Watermark tab to add text as the watermark. Input the required text, or choose one from the provided options. If required, define other text properties, such as direction, color, font, size, transparency, etc.

Use the Picture Watermark tab to add an image as the watermark. Load the image and customize its properties, such as size mode, horizontal and vertical alignment, tiling, transparency, etc.

Select the Position of the watermark. Specify the required pages to apply a watermark in the Page Range section of the dialog. Separate page numbers with commas, or specify page ranges using a dash.

Use the Clear All button to remove the Watermark from the preview window.

 

Customizing the Toolbar

To open the Toolbar Customization window, do one of the following:

The Toolbars tab allows you to hide specific bars and display hidden ones.

The Commands tab allows you to access bar commands and add them to bars. Simply Drag the bar command from the Commands list onto a toolbar or menu.

The Options tab allows you to control options affecting the display of menus and bar commands.
