Scheduler window (Current Station)

This window is used to schedule or unschedule the current station for any selected Date range. The results are displayed in the Hours pane, showing totals for scheduled or unscheduled positions. From this pane, you can jump to any hour in the Editor. Under most circumstances, GSelector is designed to completely fill all positions in the schedule.

NOTE: When working in this window, you schedule the current station. GSelector also offers multiple station scheduling. See the Multi-Station Scheduler notes.

Date Range

Enter the start and end dates and hours to schedule in this pane. This will define a continuous Date and Time range. There is no limit to the number of consecutive days you can call to be scheduled in one operation, subject only to the terms of your GSelector license. See also the notes on selecting Date and Time Ranges in the Hours Scheduled pane. Alternately, click the drop-down arrow for either Date field to open a Date Selection pane for that date, and repeat for the second date. See the notes on using Date and Time Range Panes   When scheduling a single day, the Date fields automatically reset to show the next unscheduled day at the end of scheduling. When scheduling multiple days (more than one day at a time), the date fields do not reset automatically. By default the time range begins at the start of the From hour and finishes at the end of the Thru hour. Optionally, the time granularity can be changed using the Time Granularity of Scheduling and Reports option, in the Miscellaneous tab of the Setup | Station | Features window, to select the time up to the Minute or Second.

NOTE: When using Future Moves in a Multi-Day scheduling session, moves on dates that fall in the middle of a multi-day scheduling range are deferred to the next scheduling session in the future. If this is about to occur, there is a warning which allows you to cancel the session and break down the multi-day range to smaller periods or individual days.

 

Wrap, Block or Hour Grid selection

After the start and end dates and hours to schedule are entered in the Dates and Hours Pane, the user can define further what they want scheduled.  When selecting the Wrap feature the scheduled range will include all hours and days specified in the range.  So if the Range selected were From: Sat 12/25/2010 at 8 AM Thru: Fri 12/31/2010 at 2PM the hours scheduled would be from 8AM on the 25th of December thru 2PM the 31st of December, but if the user were to select Block for the same range the hours scheduled would be only 8AM thru 2PM on the selected days the rest of the hours on the selected days would not be scheduled. When using an Hour Grid the user will select an existing Hour Grid from a drop-down list or use the import button to Import an Hour Grid from another station within the database.  When the Grid Inclusion option is selected the hours that are selected in the Hour Grid will be the only hours included for the Date and Time range specified. If the Grid Exclusion is selected the hours in the Hour Grid will be excluded for the Date and Time Range selected.

 

Schedule

Use the Schedule section of the window to Schedule the selected hour(s) or day(s), Schedule Timed Spot Blocks, select the Pass Order and configure the Schedule Settings.

 

Pass Order Limit - Partial Scheduling


This Scheduler window drop-down list box allows the user to specify a Partial Scheduling limit. The Scheduler will schedule up to and including the selected Category Group (and any tied Group), Theme Song or Browse List. This could be used, for example to test out how some Goal settings might impact on Categories at the top of the Scheduling order set in the Category Group Importance window. The default setting for this field is <All>. Click the drop-down arrow to select the Category Group, Theme Song or Browse List as the last in the Pass Order. The GSelector Scheduler will schedule up to and including the selected Category Group, Theme Song or Browse List. To complete a day's scheduling, select the <All> option from this field. See the History Options section for additional information on viewing the Scheduled and unscheduled positions when using Pass Order Limit Scheduling.

The Schedule Setting window allows the user to select the following additional options when scheduling.

Export after Scheduling checkbox

If the Export after Scheduling box is checked, GSelector will generate an export file for each date within the specified range for the current station. The last loaded schedule export format used in the Export Schedule window is used. This feature is designed for GSelector users who don't need to review or edit the schedule before exporting it. The setting is saved when you close this window.

 

Scheduling Songs, Notes, Links and Related Links separately

To schedule just Songs, Notes, Links or Related Links, check or uncheck the appropriate box. Typically, this allows a user to put the music schedule in place and add Links and Notes at a later stage, allowing them to take advantage of Link to Song and Song to Link Texture Link Segue Ban settings. This is the same result achieved by scheduling Songs and Links together where the links follow the songs in the pass order. When scheduling Related for Songs and Links it is important to note that if Links and Related are the only options selected then Related is limited to Links. If Songs and Related are the only options selected then Related is limited to Songs. If only Related (or Related and Notes) is selected, the Scheduler will schedule Related for Songs and Links. In the case where the song positions are scheduled in a previous scheduling session, the Song option can remain selected when scheduling Related and Links as the scheduler will only schedule the remaining unscheduled positions.

 

Song and Link Browse List

The Songs and Link Browse List drop-downs are used to select a Browse List to schedule from for those Browse List Clock Positions set to <Select in Scheduler>.  If The Browse List Clock Position is set to <Select in Scheduler> and no list is selected here, the position will have an unscheduled status after the scheduler has run.

 

Schedule Timed Spot Blocks

The Schedule Timed Spot Blocks option in the Schedule button is shown when the Allow Timing of Interstitials option in the Miscellaneous tab of the Station | Features window is enabled. This option can be used to schedule the timed song interstitials in Spot Blocks before the traffic has been integrated.

Unschedule Settings

The Unschedule Settings allow the user to select the following additional options when unscheduling.

 

History Options 

The History Options section is used to view the number of unscheduled positions by each Song Category Group or Link Category Group. When the Scheduler window is first accessed, the Song Type is selected by default, and all Category Group boxes are checked. The window will display unscheduled position totals or scheduled position totals for all checked Song Category Groups or checked Link Category Groups. At the start of scheduling, all of the Category Group checkboxes are cleared. Every time the Scheduler encounters a new Pass Order, the associated Category Group becomes checked in the History Options. The counts displayed in both the Unscheduled and Scheduled grids are the cumulative number of unscheduled or scheduled positions at that point in the scheduling process. This is particularly handy when setting a Pass Order Limit to schedule only a portion of all Category Groups. During and at the conclusion of scheduling, the number of unscheduled songs will be constrained to those Category Groups being scheduled rather than the overall number of unscheduled positions per hour. This allows the user to quickly see any issues that occurred during the scheduling session. 

Note: The effect of seeing the Category Groups become checked while scheduling takes place is much more pronounced when scheduling a multiple-date range.

These checkboxes are selected using the Songs or Links radio buttons, showing respectively one for Song Category Groups and one for Link Category Groups. Uncheck any combination of Song Category Groups or Link Category Groups to view other combinations. The sequence in which Category Groups are displayed in this pane is set in the Category Group Options window. The Select All checkbox can be used to quickly uncheck and check all the Category Groups.

 

Schedule History pane

The mid-section of the Scheduler window displays a History of the Scheduling performed during the users session.

While the scheduling process is running this window is updated. Each row represents a summary of a Scheduling/Unscheduling job that can be expanded to show each pass in the job process. This section can be expanded or decreased to be hidden from view. The Cancel button next to the running job can be used to cancel the job.  Use the toolbar above this section to Clear Scheduling History and Cancel all Jobs .

Schedule Publication Status

The Unscheduled and Scheduled tabs have status indicators to define the status of each hour in the log. These indicators update as users start and complete various schedule-related actions in GSelector. They can help regulate workflow in an enterprise where multiple people contribute to the evolution of a schedule. The indicators refresh dynamically in real-time, and a change made at any workstation immediately updates all other workstations according to a polling frequency set at each of those workstations. Hovering the mouse over the hour will also show the publication status followed by the unscheduled/scheduled category count breakdown for the hour. The various states of schedule publication and the trigger that sets each state are as follows:

Not Generated: This is the status of an hour which has not been touched since it was originally created. The default appearance is a black N on a green background.

No Positions Scheduled: This is the status of an hour in which the clock positions have been laid in but all positions are unscheduled. The default appearance is a yellow background . In the Unscheduled window a black number provides a count of unscheduled elements .

Some Positions Scheduled: This is the status of a partially scheduled hour. The default appearance is white number on a blue background . In the Unscheduled window the number provides a count of unscheduled elements. In the Scheduled window the number refers to scheduled elements. Hover the mouse over the number in an hour of the Unscheduled tab to view the Category Groups for the songs that are unscheduled. Hover the mouse over the number in an hour of the Scheduled tab to view the number of Scheduled Category Groups and the Categories in those groups.

Note: Where a clock has no songs or links, the generated schedule will show the hour as scheduled with a zero indicating the hour was scheduled but no songs or links were scheduled.

All Positions Scheduled: This is the status of a completely scheduled hour. The default appearance is a white background. In the Scheduled window a black number provides a count of scheduled elements . Hover the mouse over the number in the hour to view the number of Scheduled Category Groups and the Categories in those groups.

Open for Editing: This is the status of one or more hours which a user has manually flagged as being edited. The default appearance is a red background . To set the status make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Open for Editing. To clear the status, make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Clear Status.

Ready for Export: This is the status of one or more hours which a user has manually flagged as being ready to export or publish. The default appearance is a pink background . To set the status make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Ready for Export. To clear the status, make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Clear Status. The act of setting a schedule hour as Ready for Export automatically saves that schedule as the Published Schedule.

Exported: This is the status of one or more hours which have been exported to a third party system. The default appearance is a beige background . To set the status make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Exported. To clear the status, make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Clear Status. This status can also be set or cleared using the SetScheduleStatus method in the GSelector Import/Export Web Service.

Reconciled: This is the status of one or more hours which have been reconciled with schedule changes from a third party system. The default appearance is a gray background . To set the status make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Reconciled. To clear the status, make a selection of one or more hours in the Scheduled or Unscheduled window, then right-click the mouse. Select Publication Status | Clear Status. This status can also be set or cleared using the SetScheduleStatus method in the GSelector Import/Export Web Service.

The colors used for all of the status positions can be changed by working in the new Publication Status section of the Tools | Global Settings | Appearances | Global Assignments dialog box.

Unscheduled tab


This pane in the Scheduler window displays a summary of scheduling by date and hour. In the default view, it displays completely scheduled hours, not-scheduled hours with a count of unscheduled elements, and hours with unscheduled song positions, for all checked category Groups selected in the History options pane. The user can set additional publication status positions using the right-click menu to select Open for Editing, Ready For Export, Exported and Reconciled. Hovering the mouse over the hour will show publication status followed by the unscheduled category count breakdown.

Note: Songs with a Droppable status, in the Clocks Definition window, will not be counted in the unscheduled positions. To include these dropppable unscheduled positions in the counts enable the 'Include Droppable Unscheduled Positions in Counts' setting in the History tab of the Setup | Station | Features.

 

Scheduled tab

In the alternative Scheduled Positions view, accessed by clicking the Scheduled tab, the default view displays the totals for all checked Song Category Groups or Link Category Groups scheduled as selected in the History options pane. Completely unscheduled hours are indicated by a black on a green background. Hours with no positions scheduled are indicated in yellow . The user can set additional publication status positions using the right-click menu to select Open for Editing, Ready For Export, Exported and Reconciled. Hovering the mouse over the hour will show a tool tip with the publication status followed by the scheduled category count breakdown.

 

Daylight Saving Time scheduling adjustment

GSelector automatically adjusts your schedule for Daylight Saving time. For this to work, your Windows™ Regional Settings should be accurately set for the region. On the night when Clocks are due to 'Spring forward', an hour is automatically removed from the schedule at the regional Daylight Saving Time hour. In the case where a station is required to schedule the DST hour during DST Spring forward, enable the Schedule Spring Forward Daylight Saving Hour option in the Miscellaneous tab of the Setup | Station | Feature window. When Clocks 'Fall back', the hour before the regional Daylight Saving Time hour is doubled in length, this means the users will see a very long DST hour with an Exact Time Marker DST_Reset (inserted automatically) in the middle that will ensure the DST hour airtime starts again. To suppress the Fall Back hour enable the Suppress Fall Back Daylight Savings Hour in the Miscellaneous tab of the Setup | Station | Feature window.

GSelector offers different stacking approaches, which can be used to determine how the Scheduler handles song scheduling. Specify, in the Category Group Options window, whether to stack Songs for consideration by Daypart or by Hour; additionally select to Kick, or apply Reverse Scheduling to any Category Group, Theme or <Twofer> pass. When GSelector generates a schedule, each day is scheduled according to the settings, Daypart by Daypart (in the sequence  set in the Dayparts Definition window), in Category Group priority sequence. For each position, GSelector evaluates all possible combinations of Songs in the Category Group for each Clock position, while respecting Goals for each Daypart.

TIP: For a detailed overview of the GSelector scheduling process, see the GSelector Scheduling topic.

When Daypart stacking is selected, GSelector looks for the optimum next-due song for the current position within the Daypart, and when you select Hour stacking, GSelector looks for the optimum next-due song for the current position within the Hour. The larger the Daypart, the more possible combinations exist to be evaluated, with possible consequences for scheduling speed. See the notes in the Daypart Regions topic for approaches using large Dayparts. Multiple Scheduling/Unscheduling jobs can be activate and running simultaneously.

 

Generating a Schedule

Enter or select a Date Range in the Date range boxes. Then click the Schedule button. A Progress window appears to show scheduling status and the Schedule History pane shows the Job is running.

Each day is scheduled, Daypart by Daypart, in the sequence set in the Dayparts Definition window. If Breakfast is the most important Daypart, it will be Scheduled first, followed by the next most important Daypart, and so on, until Scheduling is complete.

Once Scheduling is complete, the Progress window closes, and the Hours Scheduled Pane updates to display the date or dates Scheduled. When the Scheduler window is next access, the first completely unscheduled day is displayed in the Hours Scheduled pane, and the Dates Pane updates to display the first completely unscheduled day as well.

Cancelling a Schedule Process

Click the Cancel button in the progress window or the Schedule History pane to stop the Scheduling session. All items Scheduled up the cancellation point will remain in the Schedule. To cancel all jobs running use the Cancel All Jobs  button in the Schedule History pane.

 

Selecting Date and Time Ranges (Single station and Multi-Station scheduler windows)

  1. Enter dates and times as required in the Dates and Hours pane, optionally click any Date and Hour field
  2. This opens the Date and Time Range Pane . Select a Date and Time Range.
  3. The selected Date and Time range is then used when scheduling or unscheduling.

  1. In the Hours Scheduled pane, left click on the start hour and day for the Date and Time range to select.
  2. Still left-clicking, drag the cursor to the end hour and day in the desired Date and Time range.
  3. The dates and hours are displayed in the Dates and Hours pane.
  4. The selected Date and Time range is then used when scheduling or unscheduling.

  1. Press the shift key on your keyboard.
  2. Still pressing, click the first date and hour.
  3. Still pressing, click the second date and hour - going forward or back in time,  it doesn't matter.
  4. The dates and hours are displayed in the Dates and Hours pane.
  5. The selected Date and Time range is then used when scheduling or unscheduling.

or select a single Date by clicking in the Date Column to enter that date in the From: and Thru: Date fields.

Select Wrap, Block or Hour Grid to narrow the Date and Time Range selection even further.

TIP: In Single station scheduling, the next unscheduled day is displayed in the From: Date field after a scheduling run, to facilitate the scheduling process.  In the Multi-Station Scheduler window, where different circumstances can apply to different stations, Dates have to be entered manually each time

Note that when GSelector stations are interfaced with NexGen, you will not be able to select a starting scheduling point in the past, on the current hour or the next hour, whether by entering a date and time value, or by selecting the hour and date with your mouse. See the NexGen scheduling notes in this topic.

 

Right-click Scheduling menu options

Select a hour, day or date range ( see above ) and then right-click to open a menu to schedule, unschedule or change the Publication status for the selected date and time range. Hovering the mouse over the hour will show a tool tip of the current status of the hour.

NOTE: If the GSelector station is interfaced with NexGen, the right click menu option is disabled for any hour in the past, and also for the current hour and the two hours on either side of that hour.  See the notes on Scheduling when interfaced with NexGen.

Tip: See the Administration Roles section for information on setting these Publication Status options as to Read/Write, Read Only or No Access for the users.

 

Reverse Scheduling

The Reverse Scheduling option in the Priorities window gives users the ability to reverse the chronological scheduling order, for any Daypart, Category Group, <Twofer> and Theme scheduling. By selecting the Reverse Schedule option for the Assigned Priority List, GSelector will schedule any Category Group, Theme or <Twofer> pass, working backwards from a defined point in the schedule - the end date and time for any specified scheduling period.

This feature is designed to work with previously scheduled elements - shared schedules, or specific program features planned in advance - in which fast turnover categories typically lead to scheduling conflicts with the pre-scheduled programming.

To implement Reverse Scheduling:

  1. Check the Enable Reverse Scheduling checkbox in the Setup | Station | Features | Advanced window.
  2. In the Goals section, Edit a Priority List, from the Goals Priorities Definition window.
  3. Check the Reverse Schedule box for any Category Group you wish to apply reverse scheduling to.
  4. Assign the Priority List to desired Dayparts and Categories.
  5. Click OK to close the Priority List Assignment window
  6. Click the Save button to save your changes.
  7. Ensure the Daypart is assigned for the hours where you wish to apply reverse scheduling.

In the Scheduler window, select your scheduling period. If you are specifically concerned with creating a smooth transition between your programming and Networked programming, set the scheduling period to end at the day and hour where the pre-scheduled programming starts, as this is effectively the start point for reverse scheduling.

TIP: Many GSelector users maintain reverse scheduling for specific Category Groups, <Twofers> or Themes as a permanent feature; others opt to apply this feature selectively. Whether you choose to do this will depend on the number of junctions with shared programming or custom programming features in your schedule, and the number of available items for each Category Group, <Twofer> or Theme.  The smaller the number of items, and the faster the turnover, the more critical reverse scheduling becomes in relation to shared program material.

Full Unschedule

Specify the date range as above, and click the Unschedule button. The user will be prompted to confirm the action. The prompt will show the date(s) and time to be unschedule, the assets that will be unscheduled and the count of each asset to be unscheduled. If the schedule includes traffic the user will be warned that they will need to re-integrate traffic and they will need to confirm the action. If integrated with Zetta the user will first be warned if the schedule to be unscheduled includes Voice Tracks and they will need to confirm the action.

 

Preserve Clock Requests checkbox

Check this box to retain existing schedule positions generated by clock requests when unscheduling. Uncheck the box to remove all schedule positions when unscheduling.

TIP:  Date and Time ranges are always complete - a range defined as from 3AM to 8PM on September 5 to 9 starts at 3AM on September 5, and runs to 8PM on September 9. To schedule a series of time blocks from 3AM to 8PM, you must schedule these periods individually for each day.

 

Unschedule Songs, Links, Notes or Related Links only

  1. Select the <None> option in the Pass Order Limit/Specific Categories field.
  2. Click the Unschedule Setting drop-down
  3. Uncheck Songs, Notes, Links or Related
  4. Click the Unschedule button. If integrated with Zetta the user will first be warned if the schedule to be unscheduled includes Voice Tracks and they will need to confirm the action.

This option can also be used to partially unschedule from a Pass Order Limit, or to unschedule a Specific Song Category Group or Link Category Group using the Limit Type option in the Unschedule Settings.

 

Unschedule using Pass Order Limit

To partially unschedule a period using a Pass Order Limit:

  1. Toggle the Limit Type under the Unschedule Settings to Pass Order Limit,
  2. Click OK
  3. Click the Pass Order Limit drop-down under the Unschedule button
  4. Select the last Category Group, Theme Song or Browse List that is to remain scheduled. All Category Groups, Theme Songs or Browse Lists after the selected will be unscheduled. The Pass Order is set in the Category Group Groups Settings.  Using this system, it is possible to leave the most important Category Groups scheduled while unscheduling the less important Category Groups.
  5. Click the Unschedule button.
  6. If integrated with Zetta the user will first be warned if the schedule to be unscheduled includes Voice Tracks and they will need to click Yes confirm the action.
  7. If the schedule includes traffic the user will be warned that they will need to re-integrate traffic and they will need to click Yes to confirm the action.

 

Unschedule a Specific Song Category Group or Link Category

To unschedule a specific Category for a set period:

  1. Toggle the Limit Type under the Unschedule Settings to Specific Categories
  2. Click OK
  3. Click the Specific Categories drop-down under the Unschedule button to access a list of Song Category Groups and Link Category Groups.
  4. In this window check any Song Category Group or Link Category Group, or check or uncheck the Select All boxes.
  5. Click OK to close this window.
  6. Click the Unschedule button.
  7. If integrated with Zetta the user will first be warned if the schedule to be unscheduled includes Voice Tracks and they will need to click Yes confirm the action.
  8. If the schedule includes traffic the user will be warned that they will need to re-integrate traffic and they will need to click Yes to confirm the action.

 

Unschedule NexGen

The Unschedule NexGen checkbox is used to unschedule the selected days in NexGen when unscheduling in GSelector. This option is only available when interfacing with NexGen and when the Unschedule log option is not selected in the Automatic Synchronization tab.

 

Viewing Unscheduled or Scheduled positions

The Scheduler window offers the option to display either the total of scheduled positions or unscheduled positions in the Hours Pane. All Unscheduled positions are displayed in the default setting, while the totals of all scheduled positions can be displayed by clicking the Scheduled tab.

 

Opening the Editor from the Hours scheduled pane

Select an hour by clicking that hour. Then double-click to open the Editor in that hour.

 

Broadcast Start Hour and Scheduling

The Broadcast Start Hour is defined in the Daypart Assignment window . It defaults to 12A, but can be set from 12A-11A.  When working in the Editor, the schedule period starts at the specified schedule start time.  If the Broadcast Start Hour is 5A and you schedule 8/19, you are scheduling from 8/19 at 5A through 8/20 at 4A.

 

Scheduling for NexGen Users

When a GSelector station is interfaced with the NexGen playout system, the current hour, the previous hour and the next hour are all 'locked' in NexGen. You cannot edit, schedule or unschedule these hours in GSelector or in NexGen, nor can you select Hours or Days in the past.

If for example you want to unschedule a current day after making some alterations to clocks, the schedule is protected in GSelector and in NexGen for the current hour, the past, and the hour after the current hour. When scheduling the current day in GSelector, GSelector start scheduling from the beginning of the hour after the current hour. Right-click menu options are disabled for 'locked' hours.
